Archives Statement for Senate

Senate and Senate Committee records (minutes, agendas, correspondence, reports, and supporting papers) are deposited in the Archives for permanent preservation. The Secretary or Chair of each Senate Committee is responsible for depositing committee records in the Archives. The Recording Secretary shall do the same for Senate and for Senate Executive. (Senate Constitution, Article VI Number 10). Records will be handled in accordance with the University Records Policy. Senate minutes and agendas are open to researchers immediately after processing by the Archives. All other records will be closed for a period of 50 years; these records may be accessed only by Senate Committee members for University business. Other University personnel may be given permission to access and/or duplicate records for University business with written permission from the Chair of Senate. Additional restrictions may be applied by an Archivist during processing because of the presence of personal information, confidential business and financial information, confidential employment, personnel, or student information, or for compliance with provincial privacy legislation.
