Annual Report 2004
 
The Senate Archives Committee has the following membership:
-         Three members from the Faculty of Arts: Richard Cunningham, Michael Dennis, Gerry Gerrits
-         One member from the Faculty of Pure and Applied Science: Dave Shutler
-         One member from the Faculty of Professional Studies: Susan Markham-Starr
-         One member from the Divinity College: Robert Wilson
-         The University Archivist: Pat Townsend
-         The Deputy Archivist: Rhianna Edwards
-         The University Librarian: Sara Lochhead
-         A representative appointed by the Acadia Students’ Union: Lindsay Taylor

The Committee Chair is Susan Markham-Starr, and the Committee Secretary is Rhianna Edwards, Deputy University Archivist.
 
The Committee met four times in the 2003/2004 academic year. The main topics of discussion were:
-         Reactivation of the Committee following several years of limited activity;
-         Successful recommendation to Senate for a change in the Committee structure to include  the Deputy University Archivist as a member of the Senate Archives Committee;
-         Successful recommendation to Senate that the each Senate Committee forward its committee records to the University Archives for permanent preservation;
-         Approval of the Policy on the Management of Archival Holdings at the Acadia University Archives;
-         Support for the Archives’ request for funding for mobile shelving;
-         Ongoing support for the Archives’ regular and special projects.

I hereby report on the activities of the Acadia University Research Ethics Board (REB) for the period May 1, 2003, to April 30, 2004.  The REB’s mandate is to ensure that all human-subjects research involving any member of the Acadia community complies with the Tri-Council Policy Statement Ethical Conduct for Research Involving Humans.  The REB reports to Senate through the Dean of Research and Graduate Studies.

Applications
 
Since its last report to Senate (April 2003), the REB reviewed 79 formal applications for ethics approval.  Each of those 79 applications was eventually granted ethics approval, often after the application was revised by the applicant and often subject to one or more conditions.  Several researchers advised the REB of changes they envisaged to research that had been previously approved; in all cases, the proposed changes were approved—sometimes, however, only after further revision in light of the REB’s comments.


Meetings
 
The REB met on 10 occasions during the period of this report: May 14, 2003; June 11, 2003; July 9, 2003; September 22, 2003; October 6, 2003; November 3, 2003; December 2, 2003; January 5, 2004; February 2, 2004; April 5, 2004.  The March 1, 2004, meeting was cancelled because of the AUFA strike.

Other Activities
 
In addition to reviewing formal applications, the REB, through its Chair and its hard-working, unremunerated Faculty Representatives, responded to numerous informal inquiries from student and faculty researchers at Acadia and at other institutions.  The Chair serves as the University’s liaison to the national Secretariat for Research Ethics, prepares and distributes the agendas for meetings, records the minutes at meetings and distributes them for approval, writes letters of approval or rejection, performs filing and maintenance of records, follows up on unapproved research, publicizes the role and requirements of the REB, maintains the REB website, and reports to Senate and other bodies concerning the business of the REB.
